Marketing; Generate More Business

Improve your marketing by tracking how customers find out about your framing business. In Framiac you can now create Referral Sources to record how customers found out about your business (eg Yellow Pages, or Newspaper Ad). Framiac will then report to you how customers found out about your business over a period of time. Framiac will also report to you how valuable your referral sources are, in terms of the number of jobs which arise from those referral sources, the value of those jobs, and show a comparison of how profitable are jobs from the various referral sources. This can help you plan and evaluate marketing strategies to help you boost your business. More information is on the Referral Sources form; click Settings/Customer Administration

Generate repeat business with multiple mailing lists. Create mailing lists that reflect customer interests. Send mailouts to customers to encourage repeat business. For example, create a mailing list for Train Spotters. When a train print becomes available, mail your Train Spotters mailing list with the news. You can create a mailing list simply by giving it a name on the Mailing List form. You can add a customer to a mailing list simply by selecting the mailing list to add them to on the Customer form. A customer can belong to any number of mailing lists to reflect the variety of their interests. More information is on the Mailing List form; click Settings/Customer Administration.

Increase profitability. See which categories of customers are more profitable with an improved Customer Category report. The Customer Category report compares the profitability of various categories of your customers, eg Gift Shops, Photographers, Pensioners, Students etc (you can create your own categories). The Customer Category report, shows you, over a selected period, the number and value of jobs from your Customer Categories, broken down by Cost, Net, Tax, Total Value, the Total Discount you have given each category, your actual profit margin on each Customer Category and the amount of money owed to you by each Customer Category. In addition, the Customer Category report now also shows the percentage margin for each Customer Category. This report enables you to discover what value each group of customers is to you so that you can fine tune your discounting and your marketing to increase profits.

Accounting; Make Sure You Get Paid

Reign in your debtors with Invoice Ageing. Each quote, invoice or statement issued to a customer now shows outstanding invoice balances aged 30 days, 60 Days, 90 Days and 120 Days+

Ensure prompt invoice. Easily follow up jobs that have been completed but not collected and jobs that have been collected but not paid. Framiac now reports on jobs completed but not collected and jobs collected but not paid. This allows framers to efficiently follow up on completed jobs to ensure prompt invoice. Click File/Outstanding to see jobs completed but not collected and jobs collected but not paid. The Collected date can now be set on the Job form. The Outstanding Jobs form also has a Customer button, allowing you to immediately access customer details for a selected job. You can then use the Note field on the Customer form to record any follow-up information.

Speed receipt of invoices by taking invoices directly from the Outstanding Jobs form. New invoices can now be raised or existing invoices opened directly from the toolbar on the Outstanding jobs form. Quick invoices can be made on the Outstanding Jobs form by double-clicking on the Balance. Click File/Outstanding to see how these features will speed the receipt of invoices in your shop.

Improved reporting for receipts. The Day report now shows daily receipts. Summary reports for receipts are also available by day, month, week, quarter and year. Click Reports/Summary Reports.

Control Your Costs

Keep prices up-to-date and save labour; import suppliers catalogs even more easily with the improved Catalog Import Wizard. The Framiac Catalog Import Wizard will import a supplier's entire catalog of mouldings or matboards in a matter of seconds. You can rerun the Wizard whenever there is a change to the catalog. Framiac will update the prices on existing items, add any new items and delete any items in your catalog which are not in the new catalog (discontinued), unless you have stock of those items, in which case Framiac will keep them in your catalog until sold. The Catalog Import Wizard is now faster, more flexible and easier to use. The wizard can now import all matboards from a supplier in a single file. The Import Wizard also allows framers to add their own codes to the beginning or the end of a supplier's code. This is useful to avoid confusion where items from different suppliers use the same codes. The Catalog Import Wizard will import Item Code, Description, Cost, Matboard Length, Matboard Breadth, Matboard Range, Moulding Width and Moulding Rebate. However the wizard now only requires a minimum of item code and cost, so you can import catalogs from suppliers who do not have complete data.

Monitor labour costs and forecast labour needs with improved Labour Summary Reports. There are now 2 Labour Summary Reports. The first is the Labour Required Report. This report forecasts your labour requirements for a specified future period, enabling you to plan your workload. For example, the Labour Required Report will tell you how much time you are going to have to spend matcutting each day next week. It will also tell you your total labour requirement for each day in the selected period as well as the total labour requirement for the whole period. The new Labour Summary Report is the Labour Used Report. This report summarises your labour useage over past periods. This report can be useful for cost analyses, for example, how much labour was charged out compared with wages paid. Click Reports/Summary Reports/Labour

Improve quality control. The Jobsheet now has a budget estimate for Labour. The time quoted for a job can be monitored to ensure that it is realistic, by comparing it to the actual time taken. Any substantial difference between the time charged and the actual time taken could indicate a need to amend your settings, or alternately, could indicate a need to modify work processes or improve skills. The time charged can be found at the bottom of the Jobsheet which is printed for use in your workshop.

Save time and avoid mistakes in ordering and stock control with improved reports of Material Required and Material Used. You can now choose to have the Material Required and Material Used reports print in either supplier order, which makes it easier for ordering, or in material order, which makes it easier for checking stock. These reports now also show Bin numbers for mouldings.

Price laminate more efficiently. Laminate can now be priced linearly or by area. Some framers do lots of laminating. They are able to place multiple items across a roll of laminate to minimise waste. Those framers prefer to charge only for the laminate used. Some framers do not do so much laminating. Those framers laminate one item at a time, so each item consumes the whole width of the roll. You can now set which option suits you best on the General tab of the Sundries form.

Administration

Find items more easily with improved catalogs. You remember what that moulding looked like, but you not the code? You can now search Framiac catalogs for items which have a particular word or part word in the description; for example all green mouldings. You can now display or print either a single item, all items from a supplier, all matboards from a particular range, all mouldings in a particular bin and all glazing or backing of a particular type. All catalog items can now be set Active or Inactive. All items, Active or Inactive are able to be used, however, only Active items appear on reports, saving printer paper. Items imported using the Import Wizard remain inactive until they are first used. Items can be manually set Active or Inactive at any time. The Moulding catalog now includes moulding rebate. The rebate is ignored when calculating mat borders so you do not have to remember to enter the mat border minus the rebate, but is used to calculate the frame size. When you first go into the new catalogs, click on Help for more detailed information.

Invoices can be renamed Tax Invoice, GST Invoice, etc. Use the name for invoices which is appropriate to your tax jurisdiction. Set this option on the Invoices tab of the Sundries form.
